Exhibitor Code of Conduct

  • Read Full T&Cs

  • All participants and sponsor representatives (herein “You”) must adhere to CMT’s Code of Conduct. CMT will enforce this code and expects cooperation from all Conference participants (e.g., attendees, guests, spouse, speakers, media, agents, employees, co-workers, friends, sponsors, volunteers, etc.) to help promote a safe and enjoyable Conference experience for everyone.

  • Be supportive. Encourage and support your fellow members. No one here is looking for your criticism, cynicism, advice, or judgment.

  • Share generously. Your stories and experiences may be exactly what another member needs to hear today to solve a problem or seize an opportunity. 

  • Be constructive. We’re here to push each other forward and lift each other up. Find ways to help each other think bigger, reframe challenges, and stay curious.

  • Don’t spam, canvas, over sell, blatantly promote, or troll. This event/conference/community exists to help others learn. Give more than you take to this event. Self-promotion, spam and irrelevant, unethical guidance is strictly prohibited and is not allowed. It’s not a place to spam, canvas, solicit or bully anyone else.

  • Respect Everyone’s Opinion and Privacy. Being part of this event and/or discussions and group(s) whether online or live and in-person, requires mutual trust. Authentic, expressive discussions make events like this (online and offline) great but may also be sensitive and private. What’s shared in the private should stay in the private setting but do however understand this is a public forum and this is to be treated as a public square, therefore, please refrain from sharing private and/or proprietary information you would not desire to be public knowledge in and/or at this event.

  • I will have an open mind and a positive attitude. Unacceptable behavior which may or may not be limited to: rude, offensive or disruptive speech; offensive or rude social media post(s); heckling; demonstrating or selling a product as an attendee and not an authorized and approved by CMT, Conference exhibitor; defaming speech or defaming social media use; offensive photos; mischaracterizations of any person(s) in attendance; misinterpretation of information; inappropriate photo(s) taken; misuse or damage to property of any kind, including Venue or any individuals personal belongings; unlawful activity; rude behavior; accused of sharing offensive opinion(s) or rude social media posts while at Conference; hate speech; discriminatory or offensive gestures; etc.

  • Unlawful Activity. We reserve the right to investigate complaints or reported violations of this Agreement and to take any action we deem appropriate, including, but not limited to, reporting any suspected unlawful activity to law enforcement officials, regulators, or other third parties and disclosing any information necessary or appropriate to such persons or entities relating to your profile, email addresses, usage history, posted materials, IP addresses, and traffic information.

  • Unprofessional Character. CMT reserves the right to remove any person and their party, company, parties, sponsor, exhibitor or individual(s) at its sole discretion for any reason it deems necessary, and you understand entry may be banned by CMT with no reason, legal claim, recourse, refund or remuneration. Under no circumstances is derogatory, defaming comments about individuals, companies, products, or services, or otherwise to be tolerated. Hard selling, canvasing, soliciting, expressions of rude behavior(s), profanity, or any other similar behavior as deemed by CMT, it’s respective representatives and/or another Conference attendee, venue staff or exhibitor or sponsor. Please make sure everyone feels safe. Racial phrases, bullying of any kind, hate speech and/or political character assassinations and discrimination of any sort are strictly prohibited, not allowed, and will not be tolerated. No degrading comments about things like race, religion, culture, politics, sexual orientation, business choices, business models, gender or identity will not be tolerated. While all Political and religious views should be accepted and tolerated, please bear in mind this is a public and business event. Attendees typically use this time to learn about business and leadership, hear medical education information, learn about healthcare products and services and Conference(s) such as this are understood to be a public forum whereby it is an escape from all the chaos on the news channels, distractions at work/home, and a social media timeline. 

  • Impeding Others Ability To participate, promote, advertise, network, learn, discuss, co-exist, or operate in this Conference and/or environment. This is understood to be a public forum in which Conference attendees, speakers, exhibitors, and sponsors desire to learn and network. By becoming a participant (e.g., sponsor; attendee or any other type of paid or unpaid or invited participant), you consent to respect other people, opinions, views, organizations, and their representative(s), and will not in any way impede their ability to participate, promote, advertise, network, learn, discuss, co-exist or operate in this Conference and/or environment.

  • Reporting Code of Conduct Violation(s). Any breach of these Registration Terms and Conditions, observations, SPAM and/or harassment during Conference should be immediately reported to CMT and a Venue staff person immediately. If such a violation is brought to CMT or Venue representative(s) attention, even suspected, arises, witnessed second-hand, observed and/or heard from, suspected or reported by a third party, or any of the like, all individual(s) in their party, any person(s), any exhibitor(s), any speaker(s), any sponsor(s), etc., will be asked to leave and potentially the police involved. Attendance and any future inclusion or participation in the Conference and future CMT activities may also be immediately terminated and all individuals and organization(s) and their respective representatives and/or agents, waive any rights or claims for damages arising out of the enforcement of this rule. It is also understood that any and all person(s) and person(s) affiliated with suspected person(s), will also be removed from Conference, the Venue and future CMT activities and they also waive any rights or claims for damages arising out of the enforcement of this rule and have no recourse for legal action or remuneration from CMT, it’s respective agents, employees, representatives or affiliated business(s). 

  • Conference and any event App and social media use/post is considered a public forum and you hold harmless CMT. You understand that while CMT will do their best as Conference organizer(s), you agree this is a public forum and that various opinions may be shared which may be different than your own. It is also understood that screenshots, videos, comments from various parties, attendees and sponsor participants may be posted on social media without your knowledge. You hereby acknowledge this will take place at Conference and consent to release to have your photograph, likeness, video recording, audio, company logo(s), and the like. In which case you release CMT and individual(s) posting from any damages and/or liability because of your participation in Conference.

  • The use of profanity (live or virtually) and/or spam posts, etc., while rare … may/will be requested for removal from social media but please do understand these comments, and any photographs taken with or without your knowledge, etc., may last for days, weeks, months or years in the public on online. These instances can, do and may happen in this environment and our public forum(s) both virtually and in-person, do come with that risk. You accept that risk by being here. 

  • Seek permission before you post. You consent that if you post to social media or take a photo, video, or audio recording, before, during or after the Conference, you will make your best effort to seek to gain the permission of the person(s) before posting. Furthermore, you and all the parties mentioned or in post agree to indemnify CMT, it’s respective agents, representatives and CMT affiliated companies and representatives from any claims for damages arising out of participating in this Conference.

  • Be respectful online. CMT expects every person(s), exhibitor, sponsor, attendee, physician, spouse, representative, staff, and person attending Conference to be respectful in what they write, post, photograph, record, or comment on or say about others. You agree to be respectful online and will promise to treat attendees, speakers, sponsors, exhibitors, colleagues, competitors, etc., with the utmost respect and in the highest regard, both professionally and personally.

Can I reserve an exhibitor table without payment?

Sorry, but we can't hit the pause button on saving, holding, or reserving any spots without a completed Sponsorship Application and payment in hand. So, assemble your team, get those conference planning gears turning and submit your Sponsorship Application pronto! Oh, and just a friendly heads up: our Exhibitor tables disappear faster than a plate of pancakes at a brunch buffet!

What are the table dimensions?

All table sponsors and exhibitors get the VIP treatment: a snazzy 3’x6’ table with a white or black skirt (we’ll choose it, don’t worry), two chairs, a top-secret conference attendee list on a USB thumb drive, and a stash (depending on your selected sponsorship level on your final application) of all-access passes tailored to your chosen sponsor level for the epic industry conference this October!

Exhibitor Hall/Tables/Hours (Fri-Sat)

  • Friday, Oct 17 (All-Day, Minus General Sessions*; 8:15am-6pm ET)

  • Saturday, Oct 18 (8:00am-12pm ET, Minus General Sessions*)

Our Exhibitor Hall is crashing the General Session room Friday and Saturday as it always does at CMF. That means, our exhibitor tables throughout the entire conference center (and hallway/breezeway) are OPEN for business ALL DAY during the CMF, minus General Sessions when speakers are presenting; So, attendees are encouraged to find time to peel away throughout the day (Fri-Sat) and use your time with them wisely with our Exhibitors;

Please be aware of your volume so as to not distract others experience and make some new friends—CMF is a friendship factory!

Can exhibitors attend the breakouts and general sessions?

Yes, of course! In fact, you are all invited to step out from behind the table and dive into those breakout sessions too – this is your time to learn about this industry and build relationships beyond the table as well!

Do you assign exhibitor table or booth numbers?

No, we do not assign booth numbers to our exhibitors as this is a smaller event.

Do you provide CMEs?

We do not offer CMEs for this event.

Attendees, including exhibitors will start check-in in around 8:15-8:45am on Friday AM so get ready to kick off your morning with some visitors from 8:15am-8:45am ET.

Just so you know, we (Concierge Medicine Today event organizers and facility team) will assign your precise table the day before the event to ensure maximum exposure in your allotted area. As you know, every event has a lot of moving parts, catering hallways, beverage needs, etc. We appreciate your patience.

When you arrive and only after you've checked in and received your badge for entry at the Registration desk located in the Forsyth Conference Center main lobby, please let your co-worker(s) working the event with you check in at the registration table individually to pick up their own badge. Then, please look for your company logo on a tent card which we have placed on your table (and then locate your boxes in the one central area we have designated within the exhibit hall for shipments/boxes). Please DO NOT pick up their badge. They will need to pick up their badge individually upon arrival. Thank you.

Here’s the lowdown or ‘HOUSE RULES’ to breeze through the event. 

  1. If you haven’t noticed, CMF is a little different than most medical events. Our Exhibitor Hall is your playground for the day and a half you're here with us. And, it's not just open FOR attendees on breaks -- it’s open pretty much all day, EXCEPT WHEN a General Session speaker is on stage! So PLEASE REMEMBER that when the lights go dim that means someone special is about to start their talk, so let’s zip-it with the chit chat and take those burning questions and laughter to the lobby or side hallway! Please DO NOT have loud conversations during a General Session if attendees visit your table. Please take the conversation to the hallway/lobby. Many thanks!

  2. We’ll be dismissing you at 6pm ET on Friday and tear down is 12pm ET Saturday, so start the countdown now!

  3. Check out some local staff restaurant picks before you leave that you may or may not enjoy inside our Event App!

  4. When you arrive and get your table set-up, go on, mix and mingle, share some laughs, reunite with pals (and make some new ones!), And vibe with the crowd. But, please remember, when the lights dim and someone’s on stage, zip it with the chitchat – take the conversational fun to the lobby, the hallway(s) and/or a quieter place instead of the same room where someone is presenting. Thank you! 

  5. Lastly, be a top-notch neighbor, keep the paths clear, stash away those boxes, and keep a close eye on your goodies!

Weather & dress code

The dress code is professional/casual. No tuxedos necessary. :)

Also, we recommend you dress in layers. The weather forecast in October near Atlanta/Forsyth Conference Center each year is typically warm temps and sunshine (as of right now but subject to change) and often times, it does rain. We recommend dressing in layers and bringing a small umbrella so you stay comfortable all day. Concierge Medicine Today does provide a limited amount of umbrellas for our guests should they need one to walk to and from their hotel. Limited supply. 

Need additional name badges?

We do recognize that your employees or people may come and go and the list of attendees names you thought should attend may have changed. To ensure everyone’s entry and confirmation to the conference is correct before the event, CMT’s registration desk list needs to be updated so our team has at the Check-In/Registration area when you arrive can get your team all settled in. We need ALL of the correct names of those planning to attend (First and Last Name). Please email us any updates no later than SEPTEMBER 1 the first and last name of the representative(s) accompanying you and/or working next to you in your allotted exhibit booth area. Audience makeup @ this annual conference

Who’s showing up to the party? Well, 80% are doctors aged 32 to 78, with a fun mix of 48% gents and 52% ladies! Plus, we’ve got 20% rocking the healthcare executive scene, and everyone’s between 28 and 67—talk about a diverse crowd!

Pro Tip: This healthcare professional and practitioner audience is VERY relational. Every one of your team members is encouraged to get out from behind the table and attend the breakouts. So, get a few extra steps, get up, and go to work! 

Can I sell product at the conference?

No. Our Exhibitor Hall and floor plan at the CMF is designed for learning. Therefore, we do not permit nor allow selling, posting prices, canvassing, or taking orders on the exhibit floor or anywhere within the venue. Exhibit tables serve as spaces for demonstrations, sessions, and community engagement centered around products.

Can sponsors pay to speak at the conference?

Sort of. Only one slot is available with a speaking gig if you want to sponsor the Friday lunch hour buffet and talk for 30-minutes. Our speaker lineup for October of each year is already bursting at the seams! We've got a rockstar roster of 20-30+ speakers ready to light up our General Sessions, breakouts, and workshops! If you’re interested in submitting a lecture pitch, click here. No guarantees you’ll be chosen though so the safe bet is get you and your team in the exhibitor hall behind a table!

Tell me about the attendee list?

How’s this for a warm welcome: When you roll into the conference on Friday, Oct. 18th, get ready to snag your name badge as soon as you arrive. After that, strut on over to your table (just look for your company logo on the table) and you’ll find a shiny USB thumb drive with your attendee list as soon as you set up your table! Sadly, we DO NOT send out our attendee list prior to the event due to issues in the past with companies attempting to “sell” or “meet up”.

Like we've said often, YOU and your organizations help make this industry move forward and it's not possible without your support ... so keep innovating! This event is important and a success because of people and companies like you!

When do I receive Version 1 of Attendee List (Day of Your Arrival, No Earlier!)

VERSION 1: Upon your arrival at CMF on Friday AM (eg. 7:30am-8:15am ET) you will locate your company logo on a tent card in the Exhibitor Hall (or located in another part of the Venue) after check-in and receiving your badge. Once you have located your table, please find your boxes. On your table you will find Version 1 of our attendee list on a USB Thumb drive which will contain the same list in .XLS and .PDF format. (eg. Speakers, Attendees & Sponsor Representatives Are Included). We will not be providing a printed list.

VERSION 2: There will be a second list, which will be sent via email no later than Nov. 1st to all the sponsor's primary contact(s) we have on file from the initial Application. The second list will include new registrants since Version 1 was given (to present) along with the updated/additional attendees/edits not included on the first list.

Will there be opportunities for exhibitors to speak and give presentations?

Sort of. Our “Call for Proposals/Speaker Pitch” for the majority of session content will be open until April 1st. The selection process is highly competitive. Proposals don’t guarantee inclusion. And, Proposals should be of the highest caliber, reflect current educational trends and topics and demonstrate relevance to the educational community. Proposals should not be product promotions or sales pitches.

COVID, Releases and Disclaimers While At CMF and Refund Policy 

Meals and Snacks 

  • There will be no breakfast on Friday AM. However, assorted bars and snacks, fruit, etc., will be provided to all participants. Please plan ahead.

  • On Friday will be provided for all of our exhibitors and CMT attendees.

  • At this time, there is no dinner or cocktail reception on Friday near the end of the day. However, should there be a cocktail reception we will notify exhibitors of it on Friday and you and your team are welcome to attend. These events are typically in the exhibitor hall within the Venue. At this time, no cocktail reception or event is planned.

  • On Saturday AM there will be a self-serve continental breakfast all of our exhibitors and attendees from 8am-9am ET.

  • No lunch is provided Saturday as the conference ends at 12pm ET on Saturday.

  • There will be plenty of coffee, bottled water, and snacks throughout the conference. For other meals, check out a list of our staff’s favorite local spots in the CMF Conference App.

Personal items, luggage, lost/misplaced items disclaimer:

Travel Delays

We greatly appreciate your commitment to participate in this program. Both you and the conference attendees will benefit greatly from the knowledge-sharing opportunities. It is fully expected that you will appear in-person at this event, as advertised in professional attire. If unforeseen emergencies force you to withdraw, it would be vastly appreciated for you to please assist in recruiting a replacement, preferably someone who could speak on your behalf at your exhibit booth area on the topics you’d like them to present during their exhibiting times in the sponsor area(s).

How many exhibitors are you expecting?

We are expecting 18-25 exhibiting companies.

How many attendees do you expect this year?

We're rolling out the red carpet for around 200 to 250 fabulous folks to join the party! These numbers are just our best guess based on the past, so no crystal ball action here—no guarantees for this year's headcount!

Can I pick my table location in the exhibitor hall?

We totally appreciate the time and energy you pour into this one-of-a-kind experience, and we’re here to make sure your networking game is on point! But hold onto your hats, because our fabulous organizer and the amazing crew at Concierge Medicine Today, along with the rockstar team at Forsyth Conference Center, reserve the right to shake things up a bit. They’re the remix masters, ready to switch up layouts, shuffle sponsor spots, and rearrange exhibitor tables faster than you can say "let's network!" All of this is to keep the good vibes rolling, pathways clear, and everyone safe and sound. Thanks for being so flexible and ready to roll with the punches! When you strut in after snagging your name badge, head straight to the exhibitor hall and hunt down your company logo like it's a treasure map! Fingers crossed that all your shipped goodies made it in one piece!

What happens after the event?

After the conference wraps up, we’ll slide into your inbox a shiny updated attendee list in both Excel and PDF formats! Now, not everyone is keen on sharing their email addresses, but don’t worry—we’ll include only those attendees who’ve given us a thumbs-up to share their email with you! Typically, that’s around 30%, but hey, no promises or warranties on that number!

Any pro tips before I attend that I can share with my team?

Nope. Sorry, exhibitor hours are not on the schedule on Thursday as our workshops are priority for the day.

When does the main event start and end?

The conference officially kicks off at 8:45 am ET on Friday, sharp as a tack, and wraps up at 12 pm ET on Saturday.

Be Sure To Leave Your Boxes Fully Taped and Properly Addressed/LABELED For Your Designated Carrier. There is no shipping center on site so it’s important you have these shipping labels printed and affixed to each box so they can get to your next event.

Your Completed/Paid/Self-Addressed Shipping Instructions For Your Carrier Should Be Clearly Marked On the Boxes Before You Leave. 

When You Do Depart On Saturday around 12-12:30pm ET, Simply Leave Your Box On Top of Your Table. Then, Let The Facility Staff Know They Should Pick Up Your Box For Shipping When The Carrier Arrives Later This Week To Pick Up Packages Here At The Facility. 

Any items left on, under or around your table will be discarded or destroyed after 12pm ET unless taken with you or in a designated box with the appropriate shipping instructions. Concierge Medicine Today, LLC., is not responsible for shipping or misplaced, damaged or destroyed items left unmarked.

Posters: Where will your (rented) easel in the venue be located?

Each “Poster Sponsor” is be provided one easel for the duration of the event for your organization to use to display the poster board graphic you delivered to the facility or brought with you. Your package/delivery will be at or near your location of the easel somewhere (hopefully!) in the venue or breakout rooms. This easel is not allowed to be moved from the location you found it or moved into the Exhibit Hall and this location will be solely determined by CMT Event Organizers and Venue Staff and subject to facility recommendations and CMTs best discretion. Your easel location is final and will be clearly marked with your logo attached to CMTs easel. Sometimes posters do not always stay on their easel. We recommend you bring with you tape to attach to the rear of your poster board and the easel to avoid posters falling off their easel. Poster Sponsor Representatives are solely responsible for the content, design, printing, shipping, set-up on the easel, tear-down and destruction and/or return shipping of your poster presentation. No venue or facility staff nor CMT Representatives will be available to assist you with your set-up. Please do not move the easel or take it with you with you leave. Poster boards left after 12:01pm EST on Saturday will be discarded and destroyed unless you pre-package and have arranged for shipping and pick-up. CMT and Venue staff are not responsible for shipping, packaging, transportation or receiving of your materials. Please mail your poster board to the Forsyth Conference Center as directed in the instructions above.

Each poster presenter representative is responsible for finding, setting up, tearing down and shipping their own packages. If packages are left after the event, they will immediately be destroyed. Concierge Medicine Today LLC assumes no responsibility for items left behind. Thank you.

About the arrangement of exhibitor tables at Venue

Each exhibitor will be provided an official PDF document (“Sponsor Logistics”) by CMT upon submission and payment of their current “Sponsorship Application.” The Sponsor Logistics describes the table, easel or signage shipping details, travel recommendations, guidelines and/or rules and enforced by CMT. All table exhibits, poster presentations and/or signage must be arranged and constructed in accordance with the guidelines, provisions and limitations contained in the Sponsorship Agreement. No Sponsor may move from their CMT-selected location within the venue without the consent of CMT. If, in the sole opinion of CMT, any Sponsor fails to conform to the Rules and Regulations, Sponsorship Agreement and Sponsor Logistics and guidelines, such Sponsor will be prohibited from operating at any time during the Conference and all Conference hours. Any such non-conforming Sponsor materials may be dismantled or modified by CMT, its contractors and agents, at Sponsor’s cost, in the sole judgment and discretion of CMT. (a) CMT strongly encourages table exhibit sponsors use no more than three (3) retractable banners behind their table. (b) When applicable, CMT will provide two chairs at Sponsor’s exhibit table.

Send your Certificate of Liability Insurance Certificate/Card

Our venue, as others do as well require us to have a copy of your companies Insurance/Liability Form all Exhibitor. General Insurance Requirements – The Sponsor and/or Exhibitor shall; at its sole cost and expense procure and maintain through the term of each contract; comprehensive general liability insurance against claims for bodily injury or death and property damage occurring in or upon or resulting from the premises rented by Concierge Medicine Today, LLC. Inc. Such insurance shall include contractual and liability coverage; with combined single limits of liability of not less than $1,000,000 per occurrence and $3,000,000 aggregate. Such insurance shall name Concierge Medicine Today, LLC. as an additional insured and Sponsor/Exhibitor shall upon request provide Concierge Medicine Today, LLC. with certificate so indicating. Workers Compensation and any other insurance or required licenses shall be in full compliance with all federal and state laws; covering all Sponsor/Exhibitor company’s employees engaged in the performance of any work for the Exhibitor including employee liability coverage; in a minimum amount of not less than $500,000 of individual and/or aggregate coverage. All property of the exhibitor is understood to remain under its custody and control in transit to and from the confines of the designated exhibit area.

May exhibitor/sponsor badges access the breakouts and attend the General Sessions?

Yes! Of course. Your Representatives are encouraged to attend breakout sessions with our speakers and attendees and then return to their table(s) during the breaks between sessions. They will be able to listen to attend all breakouts on Friday and Saturday as well as our General Session speakers alongside all of our attendees and Physicians for maximum networking and exposure. We’ve worked diligently over the past several months to ensure substantial networking moments and time between sessions with attendees. This is so important to us. As is the flow and pace of the conference agenda itself throughout each of the two days and hours we have together.
