CMF reserves the right to modify or stop any exhibitor activity that does not align with these guidelines. All determinations are made at the sole discretion of CMF and apply uniformly across all exhibitors.

Sponsorship is a marketing opportunity — not a guarantee

CMF does not guarantee attendance numbers, lead generation, meetings, media coverage, exhibit traffic, or ROI. Sponsorship provides visibility and engagement opportunities in a curated physician audience.

CMF is an educational conference

If your package includes a speaking opportunity, presentations must be educational. Promotional-only or sales-pitch presentations are not permitted. All speaking content is subject to CMF editorial review.

Claims must be accurate and substantiated

All marketing language, product claims, and descriptions used at CMF must be accurate and compliant with applicable laws. CMF reserves the right to require modification or removal of any claims deemed misleading.

Category reservation is confirmed

Your sponsorship category has been reserved. Invoice and payment will be processed per your agreement terms. Contact the CMF team with any billing questions.

SPONSOR FAQs

These FAQs summarize key sponsorship policies. The CMF Sponsorship Agreement – Terms, Conditions & Rules governs participation in the Concierge Medicine Forum.

  • Organizations may apply for sponsorship by completing the CMF sponsorship application.

    Submission of an application does not guarantee acceptance. Sponsorship participation is confirmed only after written approval from the CMF event team.

  • Standard exhibit tables are typically 3’ x 6’ and include:

    • table with skirt
    • two chairs

    Sponsors may bring banners, signage, and demonstration materials consistent with venue guidelines.

    Sponsors are responsible for transporting, installing, and removing their materials.

  • CMF is a professional, physician-focused conference. Exhibitor participation is limited to educational, non-clinical engagement.

    What is permitted

    Sponsors may:

    • Demonstrate products in a non-invasive, observational manner

    • Share educational information, data, and use cases

    • Engage in professional discussions with attendees

    • Display measurement-based tools that do not involve treatment or physical manipulation

    What is not permitted

    Sponsors may not:

    • Perform or offer treatments, procedures, or clinical services

    • Conduct hands-on demonstrations involving attendees

    • Use massage tables, treatment beds, or similar equipment

    • Perform diagnostic testing, scans, or physiological assessments involving physical contact

    • Conduct live “before-and-after” demonstrations on attendees

    • Engage in any activity that may be interpreted as medical care, cosmetic treatment, or patient-like interaction

    Key distinction

    CMF distinguishes between:

    • Measurement / informational tools (generally permitted with limitations)

    • Intervention / treatment-based activities (not permitted)

    All exhibitor activities must remain non-invasive, educational, and appropriate for a professional medical conference environment.

    CMF reserves the sole right to determine whether an activity is permitted and may require modification or cessation at any time.

  • CMF is intentionally designed as a smaller, relationship-focused conference. Typically, 225-325 but attendance levels vary from day to day and year to year and are not guaranteed.

    Sponsors should plan participation accordingly.

  • Yes, but only once your organizations’ representative has received their badge. After receiving your badge, you will find instructions at your assigned table and how to access the latest attendee list. CMF does not provide early access to attendee lists nor sell prior CMF lists.

    CMF does not sell attendee lists.

    If attendee information is provided as part of a sponsorship benefit, it must be used solely for legitimate follow-up related to the event and in compliance with applicable privacy and communication laws.

    Sponsors may not resell or redistribute attendee data.

  • Historically, the audience has primarily consisted of:

    • physicians
    • healthcare practice owners
    • healthcare executives
    • healthcare service providers.

    Audience composition may vary each year.

  • No. Sponsorship space is confirmed only after:

    • submission of a completed sponsorship application
    • written approval from the CMF event team
    • receipt of the required payment.

    Due to limited space, sponsorship tables are reserved on a confirmed basis only.

  • No.

    Participation as a sponsor or exhibitor does not imply endorsement, certification, or recommendation by Concierge Medicine Today or the Concierge Medicine Forum.

    Sponsors may not state or imply endorsement by CMF.

  • Sponsorship benefits vary by sponsorship level and are outlined in the sponsorship prospectus or confirmation materials.

    CMF reserves the right to substitute benefits of reasonably comparable value if operational adjustments are necessary.

  • No.

    All sponsorship payments, including deposits and installment payments, are non-refundable.

    Sponsorship commitments are contractual and are not contingent upon:

    • attendance levels
    • lead generation
    • introductions or meetings
    • media coverage
    • return on investment.

  • Limited electrical access may be available depending on venue configuration.

    Sponsors should plan accordingly and may wish to bring extension cords or surge protectors if needed.

    CMF and the venue are not responsible for electrical compatibility or equipment damage.

  • If a sponsor cancels participation, withdraws, or breaches the Sponsorship Agreement:

    • payments already made are forfeited
    • any unpaid balances may become immediately due.

  • Sponsorship rights may not be assigned or transferred without written approval from the Organizer.

  • No.

    CMF does not guarantee:

    • attendee numbers
    • attendee demographics
    • traffic flow
    • introductions or meetings.

    Sponsorship provides marketing exposure but business outcomes are not guaranteed.

  • Sponsors are responsible for the security and operation of all equipment brought to the event.

    CMF and the venue are not responsible for:

    • loss
    • theft
    • damage
    • electrical issues
    • compatibility problems.

  • No.

    Sponsors assume the business risk associated with marketing participation at the event.

    CMF does not guarantee:

    • lead generation
    • client acquisition
    • networking outcomes
    • business opportunities.

  • Exhibit and sponsor table placement is determined solely by the Organizer.

    CMF may adjust floor layouts, signage placement, or exhibit areas if necessary for operational reasons.

  • Yes.

    Exhibit locations may be adjusted if necessary due to venue logistics, operational needs, or event modifications. Exhibit and table placement are determined solely by Concierge Medicine Today, LLC.

    CMF reserves the right to assign, adjust, or reassign exhibit space and floor layout at any time as necessary for operational, safety, programming, or event management reasons. Placement decisions do not entitle sponsors to refunds or damages.

  • Yes, but sponsors are responsible for ensuring that demonstrations comply with applicable laws and regulations.

    Sponsors are responsible for:

    • product safety
    • regulatory compliance
    • claims made about products or services.

    CMF does not evaluate or certify sponsor products or demonstrations.

  • Sponsors who display or demonstrate medical devices, diagnostics, testing tools, or health technologies must ensure compliance with applicable regulations.

    Sponsors assume full responsibility for product demonstrations and any related claims.

  • No.

    Sponsors are responsible for the security and protection of all equipment, materials, and property brought to the event.

    CMF and the venue are not responsible for loss, theft, or damage to sponsor property.

  • Conference operations rely on third-party technology such as Wi-Fi networks, audiovisual systems, and venue electrical services.

    CMF does not guarantee uninterrupted availability or compatibility of these services.

    Sponsors are responsible for ensuring their equipment is properly protected and configured.

  • Sponsors may ship materials to the venue in advance according to the instructions provided in the official Sponsor Logistics document.

    Sponsors are responsible for:

    • labeling packages
    • arranging shipping carriers
    • scheduling return pickup after the event.

    CMF and venue staff are not responsible for packaging or shipping sponsor materials.

  • CMF does not sell attendee lists.

    If attendee information is provided as a contracted sponsorship benefit, it may only be used for legitimate follow-up related to the event.

    Sponsors must comply with applicable privacy and communication laws.

  • Sponsors may communicate with attendees where contact information has been provided through approved channels.

    Sponsors are responsible for complying with applicable email marketing and data privacy laws.

  • Sponsors and sponsor personnel must conduct themselves professionally and comply with CMF event policies.

    Harassment, discrimination, disruptive behavior, or unlawful conduct is not permitted.

  • Marketing activities must occur within the sponsor’s approved exhibit space or designated sponsorship benefits.

    Unauthorized solicitation or “suitcasing” outside approved areas is prohibited.

  • CMF may take corrective action including:

    • warnings
    • removal from sessions
    • expulsion from the venue
    • termination of sponsorship
    • exclusion from future CMF events.

    Sponsors removed for policy violations are not entitled to refunds.

  • Yes.

    CMF may modify:

    • program schedules
    • speakers
    • event format
    • exhibit layout
    • venue logistics.

    Such modifications do not qualify for refunds.

  • If the event is cancelled for reasons other than force majeure, liability is limited to sponsorship fees actually paid.

    CMF is not responsible for:

    • travel expenses
    • lodging costs
    • marketing costs
    • lost profits.

  • Yes.

    CMF is a public professional event where photography, video recording, and livestreaming may occur.

    Sponsors grant CMF the right to use sponsor names, logos, and event imagery for promotional or archival purposes.

  • Yes.

    Sponsor representatives are welcome to attend educational sessions and general sessions when not staffing their exhibit area.

    CMF encourages sponsors to participate in the learning experience and engage with the community.

  • The Sponsorship Agreement is governed by the laws of the State of Georgia.

    Any disputes must be brought in courts located in Georgia.

  • No.

    Exhibit table placement and floor layout are determined solely by the CMF event team and venue staff.

    The event layout may change if necessary to support safety, logistics, or program operations.

  • CMF is intentionally designed as a smaller, highly relational event.

    For this reason, exhibitor tables are typically identified by organization name rather than assigned booth numbers.

  • Yes.

    Organizer may adjust exhibit layout, signage placement, or sponsor locations if necessary to support event operations.

    Such adjustments do not qualify for refunds or credits.

  • No.

    The CMF exhibit area is designed for demonstrations, education, and relationship building, not direct selling.

    Sponsors may:

    • demonstrate products
    • share information
    • discuss services
    • build relationships.

    Sponsors may not:

    • post pricing
    • conduct direct sales transactions
    • take orders on the exhibit floor
    • engage in aggressive sales tactics.

    Follow-up sales conversations after the event are permitted.

  • Suitcasing refers to individuals or organizations promoting products or services at an event without being an approved sponsor.

    To protect official sponsors, unauthorized solicitation, marketing, or business promotion within the venue is prohibited.

  • No.

    CMF emphasizes direct, in-person networking rather than scheduled appointment systems.

    Many sponsors find that the most productive conversations occur organically throughout the event.

  • Sponsors and sponsor personnel must comply with the CMF Code of Conduct.

    All participants are expected to behave professionally and respectfully.

  • CMF may take corrective action including:

    • warnings
    • removal from sessions
    • removal from the venue
    • termination of sponsorship
    • exclusion from future events.

    Sponsors removed for policy violations are not entitled to refunds.

  • Most conference sessions are selected through the Call for Proposals process.

    Submission of a proposal does not guarantee acceptance.

    Some sponsorship packages may include a presentation opportunity as described in the sponsorship materials.

  • No.

    CMF does not permit on-site treatments, procedures, or hands-on demonstrations involving attendees.

    This includes:

    • Massage tables or treatment beds

    • Physical manipulation or therapy

    • Cosmetic or clinical procedures

    • Any activity involving physical contact with attendees

    Sponsors may demonstrate products in a non-invasive, observational manner and discuss their services.

    Measurement-based tools that do not involve treatment or physical manipulation may be permitted, provided they remain educational and compliant with event guidelines.

    All exhibitor participation must remain non-clinical and appropriate for a professional physician audience.

  • CMF does not currently offer CME credits for this event.

  • Sponsors are encouraged to follow up with contacts made during the event and continue developing relationships built during the conference.

    Sponsors should comply with applicable privacy, communication, and marketing laws when conducting follow-up outreach.

  • CMF exists for one reason:
